E-mail is the latest, most popular way to communicate. It seems like almost everyone has at least one E-mail address now days. We are a strong supporter of E-mail but we think there should be some precautions that should be taken.
- You need to have a Domain so your E-mail address would be yourname@domain.com such as Rob@saundersbusiness.com. This gives you a permanent address that you can keep as long as you keep the Domain name. This way if you change internet providers say from Charter to Bell South, you will not have to change your E-mail address
- Be sure your E-mail provider can filter your E-mail for viruses. By checking E-mail at the server, you have a better chance of stopping an infection before it gets to your computer. These virus filters on the servers are better and more current than most home based filters. We still recommend having Norton Antivirus on your computers as an additional precaution.
- Be sure you can access you E-mail through the internet as well as at your home or office computers. This allows you to check your E-mail when you are away from the office, either on a business trip, vacation or traveling for other reasons. In this case you are actually viewing your E-mail on the server and dealing with it there. If you leave the E-mail on the server, it will download to your local machine when you return to your home or office.
- Spam E-mail is also a consideration. This is also known as Junk Mail. It is very similar to what you get in your home mailbox but you can get much more of it because it is free to send it. You would want to have an E-mail hosting company that filters out this spam mail or you can purchase software that will do it for you but again, this local software will not be as good or as up to date as server software would be.
- When we provide your E-mail. We offer all these benefits as well as the following features:
- Forwarding of all E-mail to a single address
- Vacation forwarding - this sends an E-mail back to the sender that lets them know you are out and will respond when you return. The message they receive is written by you.
- Spam review - any filtered spam can be seen for 7 days in a special place on the server and can be sent to your regular mail if you like.
- You can control your passwords
- Server based E-mail address book
- Custom screen layouts - You can change the way the screen looks and displays information to you, such as the colors, the language, and other settings.
- Message highlighting - Based upon given criteria, incoming messages can have different background colors in the message list. This helps to easily distinguish who the messages are from, especially for mailing lists
- Index order - The order of the message index can be rearranged and changed to contain the headers in any order you want.
- Unsafe image rules - Set up rules about how unsafe images in HTML messages are handled.
- Spell checker options - Here you may set up how your personal dictionary is stored, edit it, or choose which languages should be available to you when spell-checking
- Message Filters - Filtering enables messages with different criteria to be automatically filtered into different folders for easier organization.
- Mail Fitters - Here you may set up server-side filters on all of your incoming mail
- New Mail Options - This configures settings for playing sounds and/or showing popup windows when new mail arrives.
- You can search your inbox
- Server based Calendar with Day, Week or Monthly views. You have the ability to set the starting time, length of the appointment or activity, set the priority level, add a title and detail information.
